We are looking for a highly organized and detail-oriented teammate to assist and support the daily operations of our People team. This role encompasses a variety of responsibilities, mostly focusing on administration and office management. As part of the team, you will contribute to setting and improving internal procedures, as well as enhancing employee satisfaction.

What you’ll do:

Administration:

  • Maintain employee records- contracts, annexes, decisions on annual leave (hard and soft copies)

  • Perform all administrative tasks (printing/scanning documents, organizing and signing documentation, etc.)

  • Keeping policies and procedures up-to-date

  • Collaborate with an accountant and lawyer to update documentation regarding work regulations, systematization etc.

  • Organize and process office payments and billing

  • Ensure compliance with labor laws and regulations, including maintaining up-to-date knowledge of local employment laws and advising management on compliance matters

Office Management:

  • Order and maintain office supplies, as well as office equipment

  • Coordinate with vendors, contractors, and service providers for office repairs, maintenance, and other facilities-related matters

  • Take care of bill payments and contribute to office improvement projects

  • Manage incoming and outgoing mail, including shipments from Amazon

  • Identify and address office-related issues

Employee Support:

  • Assist in the onboarding/offboarding of employees 

  • Take care of welcome, birthday and anniversary presents for employees

  • Assist in planning and executing various events (team buildings, NY party, etc.)

Job requirements:

  • At least 1 year of experience in a similar job position, preferably in a technology company

  • Previous operational and administrative experience supporting HR Team

  • Good communication skills (both written and verbal), with the ability to communicate effectively with various stakeholders

  • Good prioritization and proactivity

  • Dependability - you meet deadlines and can communicate roadblocks

  • Proficiency with computers, including MS Office and, in particular, Excel

  • Mandatory work from the office 3 times a week

And extra points if you have:

  • A solid work ethic - you are motivated to learn and work independently

  • Experience with some ticket management system (Jira, Asana, Trello, or other)

  • Good English language proficiency
